Budget left? Invest in business hardware now

We are in the final quarter of 2024. You've managed the budget of the organisation efficiently, there's even some left over. What are you going to do with the rest of the budget? Our advice: Buy or lease business hardware before the end of the year. Why? We'll explain that in this article!

What is considered business hardware?

The first things you think of with business hardware are probably: a laptop or desktop, a mouse, keyboard and monitor. As a company you deal with a lot more hardware. Think for example of the processor, hard drive, memory drive and of course the microphone and webcam. All these pieces of hardware build to the efforts and efficiency of your organisation. Is the processor slow? Then your colleagues can’t go on quickly with their tasks. Is the webcam broken for the who knows what time? That goes against the pleasure of working. When all of the hardware works well, your colleagues can perform optimally and create a positive work environment. Although that sounds easier said than done, because the choice of hardware is plenty.

From graphics card to the monitor

To choose the correct business hardware, it’s important to look at the needs of your colleagues. Does everyone within the organisation work in the office? Or also sometimes at home? In that case it’s useful if your colleagues are able to have an easily carriable laptop with a long lasting battery. With this it’s important that you choose for a business laptop instead of a consumer laptop. A business laptop is better protected against hackers. Don’t forget that the needs are different per department within an organisation. For example, graphic designers often work with heavy files where they need an efficient and powerful graphics card and a highly colourful monitor. Although there’s one thing that is nice for every company: being able to start up quickly in the morning.

Business hardware in the office

You connect the laptop to the docking station and tada: all the peripherals – the monitor, mouse and the keyboard – are connected directly. How useful is that? When you have to connect all hardware by hand, you lose a lot of important time. A good dockingstation is therefore important. Although there are still gains to be made during the day. Think about a good pair of headphones. Hearing colleagues chatting during a meeting can be terrible for the concentration. Our advice is therefore to purchase headphones with the noise cancelling feature. Do you often speak about documents in meetings? Then it would be useful to have several monitors. Whatever the hardware you choose: always look at the lifespan and future expansion possibilities. And ask yourself: is leasing or buying hardware interesting for my company?

Leasing or buying a laptop?

Do you still have a high budget? Then buying hardware is the best option. With this you’ll save money in the long run. Otherway round is the exact same: do a lot of colleagues need expensive laptops, but there’s not much budget left? In that case choose to lease hardware. You pay a fixed amount per month, with the costs being predictable. Another advantage of leasing is the possibility to make use of the newest devices and technology. However, with leasing you are not always the owner of the hardware meaning you can not always write off the costs. These fall under operational costs which also excludes them from investment and interest deductions in taxes. In the long term buying hardware can then be a more interesting option.

Buying, leasing and managing via NGU

New hardware can be a festive way to end 2024. A tip to get control of the budget in the new year? Save an amount each month per colleague for new hardware. The platform of NGU helps you with this. In this platform colleagues get a one time startersbudget. As soon as this is activated, the employer can add a fixed amount each month (for example 10 or 15 euro). When enough is saved, colleagues can buy laptops or smartphones from our central store. Do they prefer working with Apple? Then the webshop can be changed to only give the option of iPhones or Macbooks. With this, the purchase process becomes a slight bit quicker and easier! NGU Business also offers a free Pluspacket.
